How to Prepare Artwork for Event Graphics Orders

A practical artwork upload guide for vinyl, SEG fabric, banners, step-and-repeat backdrops, rigid signs, and large-format event graphics.

Send production files, not just mockups

Mockups are useful for approval, but production teams need files that match the actual finished size, material, and install condition. A step-and-repeat, wall vinyl, SEG fabric panel, and rigid sign all need different bleed, finishing, and scale assumptions.

  • Include final dimensions, quantity, material, and install location in the file name or order notes.
  • Package linked images, fonts, and editable source files when last-mile production adjustments may be needed.
  • Provide a PDF proof for visual reference, but do not rely on a low-resolution proof as the print file.

Plan around seams, edges, hardware, and viewing distance

Large-format artwork is physical. Logos, QR codes, sponsor names, and small copy should stay away from seams, hems, pole pockets, grommets, frame edges, floor contact, and expected hand traffic.

Use the upload notes to explain the event context

A clean upload includes more than artwork. Tell the production team where the piece goes, how long it needs to last, whether it will travel, whether it is indoor or outdoor, and whether the install crew needs hardware, templates, or drawings.
